Updated user interface for managing email quarantines

Now, you will see a more intuitive interface in the email quarantines tool as it aligns with other tools in the admin console.

We tell you some improvements:

  • In the console, a side panel will appear to filter quarantines, the same can be collapsed.
  • You will have a table view showing quarantined with custom names row by row.
  • You will be able to access with an option to see the original content without being processed of a selected message.

You can find Admin Quarantine in the Admin Console in Apps > Google Workspace > Gmail > Manage quarantiness. 

Availability

  • Available to customers of all editions of Google Workspace, as well as customers of legacy G Suite Basic and Business editions.

Alert visibility based on admin role privileges

Google added a new control that allows only administrators with the DLP privilege to see DLP alerts. For this, advanced administrators must create a custom rule. 

¿Why this change?

Before the alerts were visible to all administrators, now only the correct users will have access. Also, alerts that are not relevant to a certain administrator will not be visible.

Stronger protection for sensitive actions in Google Workspace accounts

Google recognizes that there are certain sensitive actions that can be taken by both an administrator and a hacker. That is why they applied new protections for them, reduced the risks. 

¿How will the organization be protected?

First, Google will evaluate the session of the person trying to perform the action and if it considers it risky, it will ask them to verify their identity. Then, a two-step verification will be done in order to confirm the validity of the action.

How? For example, if a hacker gains access to an account and tries to change its name, the action will be blocked until the actual owner of the account can verify that this was intentional

¿How does it help me?

Help protect your data, the organization’s sensitive information and maintain the security of your organization. 

Note: In the Admin Console, under Users > “Username” > Security, admins can disable identity checks for 10 minutes in case a user is unable to successfully complete the process for some reason ¡Attention! Verify that this user is the person that you create.

Available 

  • Available to all Google Workspace customers, as well as G Suite Basic and Business legacy edition customers.

Migrating non-managed accounts to your domain with the new “User Invitation” API functionality

Google has released a new API feature that allows you to automate the process of finding accounts and also inviting them to join your organization. 

But, ¿What is an unmanaged account?

It’s a Google account created by an employee with one of your organization’s domains. These are typically not recommended for managing users or keeping work data secure. 

¿What does this function allow me?

Using the API’s User Invitation functionality, you can submit a request to convert your personal account to a Google Workspace account. 

Previously, you could perform the same action manually with the transfer tool. However, the API allows you to programmatically identify and fix conflicting accounts using whatever logic works best for your needs.

Available

  • It is available to Google Workspace Business Starter, Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, Cloud Identity Premium, and Cloud Identity Free customers.
  • Not available to Google Workspace Essentials, Enterprise Essentials, Education Standard, Enterprise Plus, Education Fundamentals, Education Plus, Frontline, Nonprofits, and legacy G Suite Basic and Business customers.

Enhanced data privacy with client encryption for Google Meet

¡Together with Google we want to continue protecting you! That’s why this month Google added encryption for Google Meet. In this way, Meet encrypts all your data at rest and in transit.

Additionally, it gives the user direct control over their encryption keys and the identity service they choose to authenticate those keys.

Clarification: Google cannot access audio and video content under any circumstances.

¿Why it’s important? 

Client encryption uses client-provided keys to add another layer of encryption to video and audio. This can be used for calls that require confidentiality and makes media content indecipherable, even to Google.  

Important Note:At this stage, you can only invite participants within your workspace organization to client-encrypted calls. Guest access is coming soon.

To consider:

  • When client encryption is enabled, the host must join before the call can start.  
  • Some features that require server processing or analysis of the media in the call will not work, for example cloud-based noise cancellation or closed captioning. 
  • Client encryption does not support calling into a meeting or hanging up to leave.

¡Attention! An administrator must configure how Meet connects to a key service and identity provider before enabling client encryption for users. 

The user can activate it in the following way: 

  • In a Calendar event with a Meet video conference, by navigating to Settings (gear icon) > Security and selecting “Add encryption.”

Note: All participants must be invited to join the call, either through a Calendar event or from within the meeting. 

Available

  • It is available to Google Workspace Enterprise Plus, Education Standard, and Education Plus customers who host calls with client encryption.
  • Not available to Google Workspace Essentials, Business Starter, Business Standard, Business Plus, Enterprise Essentials, Education Fundamentals, Teaching and Learning Upgrade, Frontline, Nonprofits, and legacy G Suite Basic and Business customers.
