Google Workspace is one of the most secure corporate email suites and business applications on the market. 

User data is protected, it has excellent anti-spam filters and administrators are in control of everything that happens.

New notifications when Drive content violates the Abuse Policy

Access to a Google Drive file may be restricted if it is found to be in violation of the Google Terms of Service or Program Policies.
If that happens, what happens? A check mark may appear next to the file name, the item cannot be shared and will no longer be accessible to the public, even to users who have the link.

As for the owner of the Google Drive item, they will receive an email notifying them of the action taken and explaining how to request a review if they believe it is an error.

Managing Gmail IMAP controls by group (In the Administrator Console)

Being able to configure Gmail IMAP settings at the group level provides more fine-grained control for defining trusted email clients. Previously, this was only possible to configure at the domain or UO level. As a result, users are assured of secure and reliable communications.

Enhanced content classification, control and DLP with Google Drive tags

In early 2021 Google announced a beta version of three features that can help categorize content and improve the protection of sensitive content: Drive tags.

They are now widely available alongside Workspace's automated classification with data loss prevention and tag-based sharing restrictions.
⠀⠀⠀⠀
  • Drive tags: This feature allows administrators to configure custom tags (formerly called metadata) for a domain. Users can then apply these tags to files in Drive to ensure that they are handled correctly.
  • Automated classification with Workspace Data Loss Prevention (DLP)The objective is to help organizations automatically add Drive tags to content according to administrator-defined rules and predefined content detectors.
    • Being automated, it reduces the risk of manual sorting errors and facilitates the large-scale use of labels.
    • Administrators can allow end users to change the tags applied by the DLP to provide flexibility to the organization.
  • Tag-based sharing restrictions: Administrators can configure sharing restrictions to apply to all files that have a particular tag. For example, DLP administrators can configure a rule that shows users a warning whenever they attempt to share a file labeled "Confidential" and another rule that blocks external sharing or prevents downloading of all files labeled "Top Secret".

Why use these functions?

Proper handling of sensitive data is the key to a sound information control policy. The first step is to label files that may contain sensitive intellectual property, personally identifiable information, data subject to special compliance regulations, and other unique characteristics.

Additional details
Once administrators activate the tags feature and publish them, authorized users will be able to use them.
⠀⠀⠀⠀
They will be able to do this from: the Drive context menu, the Drive details panel or the Tags option in the File menu of Google Documents, Spreadsheets and Presentations. In addition, users can find files (to which they have access) with a given tag with Drive's advanced search.

Availability

Notifications when Drive content violates Abuse Policies.

  • It is available for all Google Workspace customers, as well as G Suite Basic and Business customers.

  • All versions except for Google Workspace Essentials clients.

Drive labels

  • Available for all versions except for Google Workspace Business customers. Starter, Education Fundamentals and Frontline, nor for those of G Suite Basic and Business.

Automated classification and tag-based sharing restrictions with DLP integration

  • Available in Google Workspace Enterprise versions Standard, Enterprise Plus and Education Plus.
