We live in a reality: each employee has different needs and this has been enhanced by hybrid work. We are repeatedly asked how to solve this as it is becoming increasingly difficult for managers to lead their distributed workforce effectively.

In a recent study conducted by Stanford, 55% of respondents said they wanted to spend time in the office and the rest working from home. Only 25% of respondents wanted to work from home full-time and the remaining 20% wanted to return to a fully on-site office.

There are 3 facts that cannot be denied:

  • Time is more valuable than ever.
  • Work is no longer a place.
  • The human connection is crucial.

So here are 6 tips aimed at helping managers effectively manage their hybrid workforce.

1. Foster a purpose

Generate a purpose-driven culture. Employees are excited when they see a reason behind their tasks. As a leader, it is your responsibility to establish the team's purpose and align it with the organization's values. Being able to capture the objectives in software that returns dashboards that are simple to consult can help you. Some examples are: Zoho Books (Finance), Zoho CRM(Sales), Zoho Analytics (Business Analytics), Zoho Desk (Ticketing System), among others.

2. Training with freedom

Micromanagement undoubtedly leads to an unhappy and disengaged workforce.

"There's no point in hiring smart people and telling them what to do; we hire smart people to tell us what to do." -Steve Jobs

When managing a hybrid team with distributed employees, it is important to provide flexible work schedules. Employees who work from home often do not follow a traditional "9 to 5" office schedule. Some focus better in the early morning hours, while others work better later in the day. By giving employees flexibility, you can increase their productivity.

Is it difficult to know the working hours of your remote employees? With Zoho Cliq, there is no need to constantly check availability throughout the day. Count on a Remote Work Report in the admin panel to get a detailed summary of all working hours and employee attendance.

3. Be an expert in giving and receiving feedback.

When working remotely or hybrid, some employees may feel insecure if they don't have a clear idea of what management's perception of them and their work is. On the other hand, they may also hesitate to pass on feedback if they don't know how you will respond.

Asking for regular feedback helps ensure that the team stays on the same page and shares the same expectations. This can be done, even among peers, through the Zoho People solution.

4. Invest face-to-face time

By having a hybrid team, there is a possibility that remote workers may feel that they are missing out on opportunities to develop or take on new projects. It is important that they have the same opportunities as those who come to the office.

One-on-one meetings are a popular technique for providing constructive feedback to remote employees, getting to know them better, understanding the challenges they face on the job, and providing better support.

In addition, the challenges faced by both groups of workers may be different. For example, those who work from the office may find it difficult to maintain a work/life balance. On the other hand, those who work from home may find it difficult to disconnect from work. So it's important to dedicate valuable time to each and help them.

It is possible to connect with team members instantly: initiate a direct one-to-one audio or video call from the Cliq home page using the Quick Plus icon.

This is also possible through Google Meet (Google Workspace collaborative suite application).

5. Centralize information

One of the worst ways to waste time is to search for documents and files in your email, in the file system of your PC, in your laptop, in your WhatsApp, etc. Even if you work in more than one place and constantly change systems, you should make sure that the relevant information is centralized. This is simpler if you work with cloud solutions, since it keeps the information within reach wherever you are.

6. Avoid context switches

Jumping between several unrelated tasks impairs finding a deep and focused work rhythm.

According to a study by Asana, on average, people switch applications between 10 and 25 times a day to get their work done. For every switch and attempt to multitask, there is a cost of lost attention.

When looking at the calendar, it is important to keep this in mind and try to prolong the focus on tasks. For example, devote a morning to meetings or do all the tasks that come from email.

This is very simple to do through Google Calendar: a solution where you can share the calendar with your team, have an appointment calendar (so that clients can schedule meetings according to your availability), the possibility to reserve focus time, among others.
