Being a Google Workspace administrator allows you to manage your organization's Google Meet video call features. Both those related to user experience and those related to security, to ensure that the solution is used according to company policies. These have a great impact on the way the organization's daily tasks and work are carried out.

The settings can be applied in general or to specific user accounts How?

To apply them to specific users, these accounts must be placed in an organizational unit or in a configuration group. With the first option you will apply the setting to all users in a department, while with the second option you can apply it to specific users in the same department or in different departments. For example, you can allow only the sales department to record meetings or the marketing team to broadcast live meetings for large groups (the functionality will vary depending on the version used).

What can be configured?

More control over how users share content in Google Meet calls. One of the latest updates built into the suite allows users to submit their content directly from Google Documents, Spreadsheets or Presentations by default. When this setting is disabled, users will not be able to use the Meet option in document editors.

Domain

Determine who can join your domain meetings. What are the options?

  • Only users of your organization or those who access via phone call.
  • Users who are signed in with a Google account or who sign in via phone call.
  • All users (even those who are not logged in with a Google account).

Access to meetings

Which meetings your organization's users can join. Options:

  • Only meetings created in your organization.
  • Meetings created in any organization using Workspace.
  • All meetings, including those created with personal accounts.

Joining meetings

How users can join meetings in your organization. It will depend on whether it is enabled or disabled:

On (default)

  • Participants belonging to the same domain as the organizer do not have to apply to join the meeting.
  • When participants access via phone call, they do not have to request to join the meeting.
  • Attendees can dial external numbers from the meeting.

Deactivated

  • The host should be the first to join.
  • Only participants invited by the host may join the meeting without asking permission.
  • Participants from your organization who are not invited must request to join the meeting. This includes users who want access via phone call.

Host management

The ability to apply the functionality depends on the version purchased. Meetings can be started with the Host Management feature enabled or disabled by default.

  • When host management is disabled, the meeting host cannot use the host functions (described below).
  • When host management is activatedthe meeting host can click on Host controls  at the meeting to use the following functions.

All Workspace editions

  • Prevent participants from sharing your screen
  • Enable or disable chat messages
  • End the meeting for everyone
  • Mute all (computers only)

Some Workspace editions 

In the superior versions, when host management is enabled, the meeting host can also add up to 25 co-hosts or co-moderators to a meeting.

Recordings and live broadcasts

Allows users to record their meetings / broadcast the meeting live or not. Recordings are saved to the meeting organizer's Google Drive account.

Funds

Allows you to control whether users can replace their video backgrounds with images. Options:

  • ON: people can replace their backgrounds with images.
  • Allows users to select custom images: users can choose their own images in addition to preconfigured images.
  • OFF: users cannot replace their backgrounds with images.

A meeting organizer's background setting applies to all participants in that meeting. For example, if the organizer has it disabled, participants cannot change their background even if they have it enabled in their accounts.
