What's new in Google Workspace?

Access denied by context: further information

Administrators using Context-Aware Access can now turn to the solver to provide more information to end users when they have access issues. End users will be able to quickly understand what they need to do to regain access to Google Workspace.

Why use it? 

Context-aware access allows administrators to assign detailed access control policies to applications based on attributes such as user identity, location, device security status, IP address and more.

To avoid delays and unnecessary calls to support, this new feature allows you to display the reason why users were denied access and the steps they should take to re-establish access.

First steps 

Administrators: Navigate to Security > Context-sensitive access > Message to users.

 

  • End users: The following message will be displayed when access is not allowed.

  • Available for Google Workspace Enterprise customers Plus, Education Plus and Cloud Identity Premium.

Administrator controls for detectable spaces in Google Chat 

Recently, Google Chat spaces can be shared via links. Now you can apply settings to share them only with specific user groups.

First steps 

  • Administrators: By default, the creation of "Restricted" spaces will be OFF, but can be enabled at the domain level.

Availability 

  • Available for Google Workspace Business customers Plus, Enterprise Standard, Enterprise Plus, Education Plus and Education Standard.

Administration of shared units: adding to specific organizational units

The feature is now available in open beta (it can be used without participating in a specific program).

From now on, it will be possible to establish more detailed sharing policies, allowing administrators to place shared units in organizational subunits (OUs).

This allows to establish in more detail the sharing policies, data region, access management, among others.
For example, administrators may restrict the sharing of an accounting department unit because it contains highly confidential information.

First steps

  • Administrators: it is possible to assign shared drives to multiple OUs with the new "Organizational Unit" column, found in Apps > Google Workspace > Drive and Documents > Manage Shared Drives.

Availability 

  • Available for Google Workspace Essentials, Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, Education Fundamentals, Education Standard, Education Plus, Teaching and Learning Upgrade and Nonprofits customers.
